THE ROLE 

The Manager, Onboarding will manage the Talent Acquisition Operations team.  You will lead a team of onboarding specialists who will optimize our hiring and onboarding process.  In addition, this role will have high visibility with top-level executives managing the entire candidate lifecycle in terms of new hire processing, data management, and onboarding activities.  The ideal candidate will be someone that actively supports, believes and embraces Mr. Coopers Core Values of Champion for our customers, Challenger of convention, and Cheerleaders for our team.   

  • Lead the core operational processes and ensure we achieve hiring success by building and delivering processes, tools and systems to support the onboarding lifecycle.
  • Build, mentor and manage a successful team and continuously refine our coordination processes to ensure world class experience.
  • Optimize the effectiveness of recruiting as an operation and drive consistency and scalability.
  • Recommend and implement improvements to the onboarding workflow
  • Anticipate bottlenecks, provide escalation management, anticipate and make tradeoffs, and balance business needs versus constraints
  • Manage and develop the team, owning processes, and creativity to inspire them, and ultimately ensuring we’re always representing ourselves in a great way to all stakeholders
  • Own and oversee the day-to-day vendor relationship(s), ensuring existing and future resources are effectively leveraged and administered

Essential Job Functions

  • Manages and coaches a team of onboarding specialists to effectively complete employee onboarding, cross-training events, and various other new hire priorities
  • Ensures efficient and effective coordination and facilitation of all onboarding and new hire related programs
  • Management – Ensure team members follow all policies and procedures regarding onboarding practices, partner with cross functional leaders to review, interpret, understand and ensure adherence with all relevant policies, federal and state guidelines to mitigate risk.  Responsible for handling all escalations and final decisions on background clearance within our guidelines.
  •  Ensure positive candidate’s interview & onboarding experience while directly engaging with new hires via phone, video and various tools prior to their first week, facilitating a seamless process from offer accepted to start while providing constant updates to stakeholders
  • Teamwork - Partner with various leaders on transitioning candidates to “new hires” and ensure completion of related onboarding tasks, partner with HR on issues that may arise during the hiring process, and once a new hire joins the company
  • Administration – Manage vendor relationship and address any issues that impact the onboarding process.  Manage onboarding communications and logistics for the entire Talent Acquisition division.  Manage the processing of required paperwork for new hires, Implement standards and practices for the onboarding specialist team. Participates and lead continuous improvement projects, as requested.  Assist with the implementation and testing of tools, monitor and assist in the completion of background checks for potential employees

EDUCATION/EXPERIENCE REQUIREMENTS

  • Bachelor’s Degree and 3-years’ experience working in Talent Acquisition Operations Teams or at least 5 years’ experience working in Talent Acquisition Operations
  • 2+ years’ experience leading a team
  • Experience working directly with all levels of leadership with a demonstrated ability to handle confidential and sensitive information with extreme discretion
  • Demonstrated change management experience
  • Process-driven with an ability to analyze and optimize
  • Provide standard or ad hoc management reporting, as needed
  • Demonstrated advanced skills and proficiency with MS Word, Excel, Powerpoint
  • Knowledge of employment guidelines, practices, and laws/regulations
  • Experience with an Applicant Tracking system and HRIS/HCM System
  • Excellent interpersonal, verbal, written, and communication skills
