Recording Manager is responsible for the overall management of the Recording process which includes but is not limited to ensuring receipt of all recorded docs subsequent to the closing date; the document management process which includes stacking, scanning and indexing the closing package; a Quality Control Review of the closing package; and the processing and follow through of any recordable documents associated with a file ensuring timely and accurate recording standards are adhered to.

Generally, what would you do as a Recording Manager?

  • Daily interaction and management of all personnel and functions within the team, including a daily huddle to review the previous day’s accomplishments, exceptions, open items and set the expectations for the current day.
  • Ensuring that team members follow the appropriate Standard Operating Procedure as it relates to the overall post-closing processes and adhere to productivity standards and Service Level Standards as set forth by management. Reviewing the SoftPro application, ensuring that the application is being utilized appropriately by team members, i.e. (tasks being completed timely and accurately as well as files notated ensuring compliance with follow up requirements).
  • Reviewing daily reports across the team in order to identify and remediate exception items and identify trends to the Post-Closing AVP that are areas of concern. Professional, accurate and timely communication maintained when interacting with clients (external and internal), customers and vendors. 
  • Maintaining consistent communication with outsource providers to ensure adherence with requirements around the Document Management and Document Quality Control Processes. This should include a monthly meeting to review the previous month’s statistics and results.
  • Communication to the Post-Closing AVP of problem areas and trends that require attention, identification and escalation of files that could be a potential claim for the organization. Ensuring adherence to the ALTA Best Practices as it relates to the overall post-closing process.
